What personal information we collect

When you contact us through our website form

We collect your first name, last name, email address, telephone number and whatever you choose to write in your message. You give us this information directly and it is voluntary. If you do not give it to us, we will not be able to respond to your enquiry.

When you are on our mailing list

We hold your name, email address, and in some cases your job title and the organisation you work for. This information comes from previous professional interaction with us, such as attending a programme we ran, working with us as a client, or exchanging contact details with us.

When you visit our website

Our hosting provider and our anti-spam service automatically record technical information including your IP address, browser type, device type, the pages you visit and the time of your visit. We use this to keep the site running, to keep it secure, and to stop automated abuse of our contact form.

We do not knowingly collect personal information from children.

Why we use it

We use your personal information to reply to enquiries, to provide the coaching and team performance services you ask us for, to send you information about our services where we are permitted to do so, to keep our website secure and working, and to meet our legal and record-keeping obligations.

We do not sell your personal information to anyone.

Who we share it with

We use a small number of third party service providers to run our website and our email. Each of them only receives what they need in order to do their job.

Vercel hosts our website and processes technical log data.

Resend delivers the emails generated by our contact form.

Google provides the reCAPTCHA service that protects our contact form from automated abuse.

EmailOctopus manages our mailing list and sends our newsletters.

Afrihost provides our business email accounts.

Some of these providers are located outside South Africa. Where that is the case, we take reasonable steps to ensure that your personal information continues to be protected to a standard comparable to POPIA.

We may also share personal information where the law requires it, or where it is necessary to establish, exercise or defend a legal claim.

Marketing emails

If we send you marketing email, every message includes a one click unsubscribe link. If you unsubscribe, we stop sending immediately and we keep a record of your address on a suppression list so that we do not accidentally contact you again. You can also ask us to remove you at any time by emailing info@changexacademy.com.

How long we keep it

We keep enquiry information for as long as we are in an active conversation with you, and for a reasonable period afterwards in case you come back to us.

We keep mailing list information until you unsubscribe or ask us to remove you.

We keep client records for as long as our legal, tax and accounting obligations require.

Website technical logs are kept for the short retention period set by our hosting provider.

How we protect it

Our website runs over an encrypted connection. Access to our email and mailing list accounts is limited to the people who run ChangeX, and is protected by passwords and, where available, two factor authentication. Our contact form is protected against automated abuse and rate limited against bulk submissions.

No system is perfectly secure. If a security compromise occurs that affects your personal information, we will notify you and the Information Regulator as POPIA requires.

Your rights

Under POPIA you have the right to ask us what personal information we hold about you, to ask us to correct it if it is wrong or incomplete, to ask us to delete it, to object to us processing it in certain circumstances, and to withdraw any consent you have given us.

To exercise any of these rights, email info@changexacademy.com. We will respond within a reasonable time. We may need to confirm your identity before we act on a request.

Cookies

Our website uses only the cookies that are necessary for it to work and to keep it secure. We do not use advertising cookies, analytics cookies or any other form of tracking. There is no Google Analytics, no Meta pixel and no similar tracking script on this site.

The one exception worth explaining properly is our contact form, which is protected by Google reCAPTCHA. reCAPTCHA is a service that tells real people apart from automated bots so that our form is not flooded with spam. When you use the form, reCAPTCHA checks whether a Google cookie is already on your device, sets a cookie of its own, and gathers information about your browser and how you interact with the page. That information is sent to Google and analysed there. It is used only to decide whether you are a person or a bot.

Because of this, your use of our contact form is also subject to Google's own terms. You can read Google's Privacy Policy at policies.google.com/privacy and Google's Terms of Service at policies.google.com/terms.

Complaints

If you are not satisfied with how we have handled your personal information, you are entitled to complain to the Information Regulator of South Africa.
